GUEST

Hi, I'm at the door but the key box won't open…

AI

No problem. May I have the name on the booking first?

GUEST

It's under Chen.

AI

Thank you, Mr. Chen. The code is 2‑5‑8‑0. Enter it, turn the dial, then lift the lid.

GUEST

Got it — thanks!

THE REALITY OF AFTER-HOURS SUPPORT

One phone call decides your review — and your revenue.

The most labour-hungry job in vacation rentals isn't cleaning. It's the phone.

Who answers when the guest speaks English, Chinese or Korean?

A call you can't understand is a call you missed. Broken-English answers mean confusion, waiting and frustration — and every misunderstanding shows up in your star rating.

You missed the "the key box won't open" call by 30 minutes. That night's review is 2 stars.

When a guest is stuck and nobody picks up, the frustration becomes a review a few hours later — and it never goes away. One star changes how the next booking lands.

Night-shift staff, outsourced call centres. The bill is the same whether occupancy is 100% or 0%.

One room or a hundred, the phone doesn't wait. A night with zero calls costs the same as a busy one. Add people and they eat your margin; cut people and you drop calls. Nobody has fixed this trade-off — until now.

Licensed operators are legally required to respond promptly to guest enquiries and neighbour complaints.

Under the Minpaku Law (Articles 9 and 10), "we didn't pick up" is not an excuse. Ignored neighbour complaints can mean a warning from the municipality — or, at worst, suspension.

HOW IT WORKS

Forward the call. AI handles the first response and sends only what matters.

1

SETUP · 5 MINUTES

Forward your existing number

Keep the number guests already know. Forward only after-hours, unanswered or busy calls to the AI front desk. A dedicated number is also available.

2

DURING THE CALL

AI responds in Japanese, English, Chinese and Korean

It detects the caller’s language and answers questions about keys, Wi-Fi, rubbish, directions and house rules. Access codes are never shared until the booking name is verified.

3

AFTER THE CALL · INSTANTLY

Your team gets the essentials

Receive a summary and action status by LINE, SMS or email. Emergencies—after directing callers to 119 or 110—and neighbour complaints are escalated immediately.

FAQ

What operators ask before getting started.

Will callers know they are speaking with AI?

Yes. Every call begins by identifying the service as an AI front desk. It never pretends to be human; transparency builds trust.

What happens in an emergency?

For fires, injuries or serious illness, callers are directed to 119; for crimes, to 110. The system confirms the situation and contact details, then immediately alerts your team. It does not replace emergency services.

Do I need to change my phone number?

No. Start by forwarding only overnight or unanswered calls. We can also issue a dedicated number if you prefer.

How quickly can we go live?

Once we receive your property details—keys, Wi-Fi, rubbish, house rules and emergency contacts—you can be live in as little as three business days.

How are recordings and personal data handled?

Calls are recorded and transcribed, and can be viewed only by authorised team members in the management dashboard. Data is handled in line with Japanese privacy law and is not provided to third parties.

Can you support more languages?

Japanese, English, Chinese and Korean are standard. Ask us about Thai and other languages.
